Everything you need to get started with MyLog, from setting up your first profile, managing your funding through to your PDF summary export.
Tip: press Ctrl+F (Cmd+F on Mac) to search this page for a specific word or topic.
MyLog has three plans. They differ only in how many people you can add profiles for, every plan includes the same features: daily entries, Goals Tracker, Funding Manager, PDF export, and unlimited carers at no extra cost.
All plans are billed monthly with no long-term contract, and you can cancel anytime with one click. See our Pricing page for the current rates, and sign up from there when you're ready. You don't need to pick your final plan up front. You can upgrade or downgrade at any time once your account is set up.
↑ Back to topMyLog gives everyone involved in care the right level of access.
Only the Family Admin needs to be the paying subscriber. Family Members and Caregivers are added at no extra cost.
↑ Back to topAfter you sign up, use the Login link in the site menu to access your account with the email and password you set when you subscribed. If you're not sure whether you've set a password yet, use the "Lost your password?" link on the login screen, it will send you a reset email either way.
Once you're logged in, you'll land on your Dashboard. That's the starting point for every task below.
↑ Back to topDashboard > Add Person to Support > Add Person
You'll be asked for a full legal name and a preferred name or nickname, the preferred name is what appears throughout the rest of the app. From there you can also record goals, strengths, what tends to make them happy, what tends to make them unhappy, and communication preferences. None of this is required to get started, you can add or edit it at any time, but filling in even a little of it now makes daily entries faster later.
Your plan determines how many profiles you can add. If you support more than one person, choose a plan with enough profiles up front, or upgrade later from your Account page when you need more.
↑ Back to topDashboard > Invite Caregiver > enter their email > Send Invite
They'll receive an email with a temporary password. The first time they log in, they'll be asked to set their own password (at least 8 characters) before they can view or add anything, this is a one-time step and takes under a minute.
Caregivers do not pay anything and do not need to set up a separate subscription. Unlimited carers are included on every plan, so there's no extra cost to bringing on more support workers as your circumstances change. Worth knowing: there's no automatic notification when a caregiver logs a new entry, so if you want to stay across it day to day, you'll need to check the diary yourself rather than wait for an alert.
↑ Back to topDashboard > select the person > Add Entry
Entries are quick by design, most take under 3 minutes, and you can type, add a photo, or record an audio note. As you go through each section, you'll rate how it went using a simple guide:
Choosing yellow or red for an activity prompts you for a bit more detail, so the record stays useful later. You may also see a short section asking how well-resourced or covered you felt as a carer that day, this feeds directly into your PDF export and helps build an honest record over time of where extra support is actually needed.
Entries can't be edited or deleted once submitted, so it's worth a quick read-back before you hit submit. If you do spot a mistake afterwards, the record can't be changed, but you can add a new entry noting the correction so the diary stays accurate.
One more thing worth remembering while you're getting started: MyLog is for day-to-day activities only. It is not a medical record, and it should never be used to report a medical emergency. For emergencies, always call 111.
↑ Back to topDashboard > Diary > choose a person and a date range
Pick a preset like Today, This Week, This Month, or Last 3 Months, or set a Custom Range. A keyword search is also available, so you can quickly find a specific entry or review a particular period without scrolling through everything.
↑ Back to topDashboard > Manage Users > Remove, next to the carer's name
Their access ends immediately, and they will no longer be able to view or add entries. You can do this at any time, and there's no need to contact us to make the change.
↑ Back to topPerson's profile > Goals > + Add Goal, under one of the four wellbeing areas
Goals sit under four areas based on Te Whare Tapa Whā: Taha Tinana (physical), Taha Hinengaro (mind and memory), Taha Whānau (social and connection), and Taha Wairua (spiritual and personal wellbeing), up to 3 goals per area. For each goal, you describe what "Good," "Moderate," and "Severe" look like in practice, so anyone rating an entry later, including carers, has a clear standard to work from.
Every time an entry is logged, the person recording it rates progress against each active goal. Over time, these ratings build a picture automatically, no separate administration required. Goals can also be tagged with a funding purpose, which then feeds into your PDF export. Setting up goals is Family Admin only.
↑ Back to topDashboard > Funding Manager > + Add Funding Stream, then + Log Spend / Expected to record spending against it
Funding Manager tracks what's been allocated against what's been spent, in both units and dollars, and shows a running remaining balance. An alert appears automatically once a stream's remaining committed funding drops low, so you're not caught out near the end of a funding period. Past years' streams are kept as an archive you can refer back to.
Funding Manager is available to the Family Admin only. Caregivers do not have access to funding information.
↑ Back to topMy Story is a short, automatically generated summary written from the entries already logged for a person, pulling together recent patterns, strengths, and notable events into a readable narrative. It needs at least 3 entries before it can generate anything meaningful, so it will be blank at first, that's expected, not a fault. Keep logging, and it fills in on its own.
↑ Back to topPerson's profile > Export to PDF > choose a date range > Export to PDF
The report brings together your dated entries, a Goals summary, any Critical Incidents, a Carer & Whānau Support Needs summary, and an evidence index tying key events to supporting entries, into one structured document.
This is the document most families bring into a NASC assessment, funding review, or meeting with a support coordinator. It's included on every plan, and you can generate it as often as you like at no extra cost.
↑ Back to topOnly people you specifically invite, Family Members and Caregivers, can see a diary. MyLog is hosted on an encrypted server and complies with New Zealand's Privacy Act 2020. See our Privacy Policy for full detail.
↑ Back to topAccount > Billing > choose a new plan
The change takes effect immediately, and your billing adjusts from your next payment cycle. This is the easiest way to add more profile slots if your family's circumstances change, without needing to cancel and re-subscribe.
↑ Back to topAccount > Cancel Subscription
It takes one click, and you'll retain full access until the end of your current billing period, no partial refunds.
Before that period ends, export your data. Once your billing period ends, your access is switched off, and a 30-day countdown to permanent deletion begins for your entries, profiles, and attached files. If you resubscribe within that 30-day window, everything is restored exactly as it was. After 30 days, deletion is permanent and cannot be undone, so if there's any chance you'll want your history later, export to PDF before your access ends, not after.
↑ Back to topMyLog works in the browser on any device, phone, tablet, or laptop, no app to download. It's designed to be quick to use on the go, which matters most for carers adding an entry between visits.
↑ Back to topOn the Login page, select "Lost your password?" and follow the emailed link to set a new one. If the email doesn't arrive within a few minutes, check your spam folder before contacting us.
↑ Back to topAsk them to check spam first, invite emails occasionally land there. If it's genuinely missing, go to Dashboard > Manage Users and re-send the invite.
If they have the email but the temporary password isn't accepted, it's usually a copy-paste issue, temporary passwords are case-sensitive. Re-sending the invite generates a fresh one.
↑ Back to topCheck Account > Billing first to confirm your card details are current. If everything looks right there and something still seems off, email info@mylog.co.nz and we'll sort it out directly, this is not something to try and fix by cancelling and re-subscribing.
↑ Back to topIf this page hasn't covered it, the fastest way to reach us is our Contact page, or directly by email at info@mylog.co.nz. For questions about billing policy, data retention, or how MyLog works more generally, our FAQ page is also worth a look.
